In short

Contacts in whatsappx.si are the people behind your WhatsApp conversations. They sync in from the numbers you connect by QR code or through the official WhatsApp Business Platform, you can add more by hand with a tag and opt-in status, and every teammate in the workspace can search them and start a chat by phone number.

What is in the contacts list?

A simple, shared address book for WhatsApp, built for answering people well.

  • Synced from WhatsApp

    When a person messages a connected number, they appear as a contact with the name and number WhatsApp provides. Nothing to import.

  • Manual contacts

    Add someone before the first message: full name, phone number with country code, an optional tag and whether they opted in.

  • Search

    Type a name or number to find a contact instead of scrolling. The inbox has the same search for conversations.

  • Tags

    When you add a contact, give it one short free-text tag such as "Lead", "Customer" or "Supplier" so teammates know who they are talking to.

  • Opt-in status

    When you add a contact, record whether the person agreed to hear from you. Contacts show "Opted in" or "Not recorded", a reminder to message only people who asked.

  • Start a chat by phone number

    Enter an international phone number from the inbox to open a conversation with someone who has not messaged you yet.

Where do contacts come from?

There are two sources, and both land in the same list.

1. Synced from your connected WhatsApp numbers. When you link a WhatsApp or WhatsApp Business app number by scanning a QR code, whatsappx.si becomes a linked device, like WhatsApp Web (WhatsApp Help Center), and recent chat history syncs in. Each person in that history becomes a contact. Numbers connected through Meta’s official WhatsApp Business Platform work the same way: when someone messages your business number, a contact is created from the sender’s details. From then on, every new conversation adds the sender automatically.

2. Added by your team. Anyone in the workspace can add a contact from the Contacts page, and developers can create contacts through the REST API. This suits people you already have permission to message but who have not written to you yet, for example a customer who ticked "contact me on WhatsApp" on your order form.

A contact record is deliberately small: a name, a phone number stored as digits with the country code, and, for contacts you add, one tag and an opt-in flag. whatsappx.si is not a full CRM. If you keep customer records elsewhere, the REST API can list and create contacts, and outbound webhooks forward incoming messages to your own system.

How do you add a contact and start a chat?

  1. Open Contacts and choose "Add contact"

    Every role in the workspace, including agents, can add a contact.

  2. Enter the name and phone number with country code

    Numbers are digits with the country code and no leading zero, for example 14155550123 or 919876543210. Add a short tag if you want one.

  3. Record opt-in only if the person really agreed

    Tick "This contact has opted in to WhatsApp messages" when the person gave you their number and asked to hear from you. Otherwise leave it unticked and the list shows "Not recorded".

  4. Start the conversation from the inbox

    Choose to start a new conversation, enter the international phone number and write your first message. If you have several connected numbers, it is sent from the number selected in the inbox. The chat then appears in the shared inbox like any other.

How do contacts relate to conversations and assignment?

A contact is the person; a conversation is the thread with that person on one of your connected numbers.

  • The inbox reads from contacts. The name and tag shown on each conversation come from the matching contact, so teammates can see who they are talking to.
  • Assignment lives on the conversation. Owners and admins assign a thread to a teammate from the chat view, and the inbox can be filtered to "mine", "unassigned" or a specific colleague. Agents see only the chats assigned to them. Assignment is about who answers right now, so it belongs to the thread, not the contact.
  • Unread counts follow the conversation. A new message raises the unread count, and marking the conversation as read clears it for the team.
  • Contacts are shared, not personal. Every workspace member sees the same list. When a colleague is on leave, the context is still there.

For example, a small clinic could let patient conversations sync in from its number, add suppliers by hand with the tag "Supplier", assign new patient conversations to whoever is on duty and keep supplier chats with the manager.

Either way, a person messaging you does not by itself mean they agreed to marketing. Record opt-in only when you have it.

Can developers work with contacts?

Yes. The REST API exposes the same contacts your team sees: GET /api/v1/contacts lists them, POST /api/v1/contacts creates one (phone as 8–15 digits with the country code, no leading zero) and DELETE /api/v1/contacts/{id} removes one. Requests carry an API key as a Bearer token, and each key belongs to one workspace. Read-only keys can list contacts; full-access keys can also create and delete them. Outbound webhooks forward incoming messages to your own system. Examples are in the in-app API docs and on the API and webhooks page.

Frequently asked questions

Do my existing WhatsApp contacts import automatically?
People you have chatted with sync in with recent chat history when you link a number by QR code, because the workspace becomes a WhatsApp linked device. People saved in your phone’s address book who never messaged that number are not pulled in; add those by hand or through the API if you have their permission to message them.
Can I start a WhatsApp chat with someone who has not messaged me?
Yes. From the inbox, start a new conversation, enter the phone number in international format and write your message. Do this only for people who gave you their number and agreed to hear from you, and send 5–10 messages at a time, never in bulk. For large opt-in lists and templated messages, use a number on the official WhatsApp Business Platform.
Who can add or delete contacts?
Every member of the workspace, including agents, can view, search, add and delete contacts, so set your team’s own rules for cleaning up the list. Tags and opt-in status are set when a contact is added. Assigning conversations is reserved for owners and admins, and agents see only their assigned chats, but the contacts list itself is shared across the workspace.
Will connecting my contacts to whatsappx.si get my WhatsApp number blocked?
Connecting a number uses WhatsApp’s linked-device feature, the same as WhatsApp Web. WhatsApp’s rules forbid bulk and unsolicited messaging, so use a new number normally for 15–20 days first and message only opted-in people in small batches. whatsappx.si is not affiliated with Meta; any restriction is between you and Meta, and whatsappx.si cannot lift it.
