What does a typical day look like for an agency on whatsappx.si?

This is an illustrative example, not a description of any real customer.

Imagine a small agency that handles customer service for three clients: a dental clinic, an online furniture store and a tutoring centre. Each client has its own WhatsApp Business number, linked to its own whatsappx.si workspace by scanning a QR code, the same way WhatsApp Web is linked.

In the morning an account manager opens the furniture store’s workspace, sees the overnight questions in one list with unread counts, assigns two delivery questions to the agent covering that client and answers a product question herself. A keyword auto-reply has already sent the returns policy to anyone who wrote “return”.

Later she switches to the clinic’s workspace. The clinic’s receptionist is an agent there and only sees chats assigned to her; the agency’s staff are admins and see everything. The tutoring centre’s founder created that workspace himself, so he is its owner and invited the agency’s staff as admins.

In the afternoon the agency’s developer checks the webhook that forwards the furniture store’s incoming messages into a ticketing tool the agency already uses.

No phone or password was shared between clients, and no client’s chats are visible from another client’s workspace.

Which whatsappx.si features matter most for an agency?

The parts of the product that solve agency problems: separation, access control and handing work to the right person.

  • A separate workspace for every client

    One account holds several workspaces. Each has its own connected number, contacts, automations and members, with data separated per workspace.

  • Owner, admin and agent roles

    Whoever creates a workspace is its owner. If a client wants control, they create it and invite your agency as admins. Limit agents to assigned chats. Email invites expire and can be resent or revoked.

  • Assignment and live updates

    Assign each conversation to one person. Everyone sees new messages live, so it is clear who is handling each customer.

  • Keyword auto-replies per client

    Set keyword-triggered replies for each client’s common questions, switch them on or off and see how often each one runs. Keep each client’s FAQs as knowledge-base articles your team can search. AI replies to customers are coming soon, not available yet.

  • REST API and webhooks

    An additional feature for agencies with a developer: use API keys with the REST API and forward incoming messages to your own tools with outbound webhooks.

  • Official API for clients who need it

    An additional way to connect: link a client’s number through Meta’s WhatsApp Business Platform with Embedded Signup, and create message templates and sync them with Meta.

How do you set up whatsappx.si for a new client?

  1. Create a workspace for the client

    Add a new workspace named after the client. Whoever creates it becomes its owner, so if the client should own it, ask them to create it and invite you. Keep every client in its own workspace from the start.

  2. Connect the client’s WhatsApp number

    Have the client scan the QR code from the WhatsApp or WhatsApp Business app under Linked devices; recent chat history syncs in. If the number is brand new, have the client use it normally for 15–20 days before linking it. For the official WhatsApp Business Platform, use Meta Embedded Signup in the app and verify the number.

  3. Invite the people who will reply

    Send email invites to your account managers and, if the client wants, their own staff, as admins or agents. Only the owner can add admins.

  4. Add auto-replies and knowledge articles

    Create keyword auto-replies for the client’s common questions and write their FAQs as knowledge-base articles your team can search while replying.

  5. Connect your own tools, if needed

    Generate an API key and point an outbound webhook at your ticketing or reporting system.

  6. Agree sending rules with the client

    Write down that only people who opted in are contacted and that messages go out in batches of 5–10 at a time. Share the number-safety rules below with the client.

QR-linked numbers use WhatsApp’s linked-device feature: up to four linked devices per account, logged out if the phone is unused for more than 14 days (WhatsApp Help Center). Meta charges for the Business Platform per delivered message (Meta for Developers). whatsappx.si does not offer bulk broadcasts on either connection.

What are the honest limits for agencies?

No bulk broadcasts. whatsappx.si is a shared inbox for conversations with people who contacted a business or agreed to hear from it. It has no campaign or broadcast tool. WhatsApp states its products “are not intended for bulk or automated messaging” and that this has always violated its Terms of Service (WhatsApp Help Center). If a client’s brief is “blast our list every week”, whatsappx.si is the wrong tool, and the honest answer is to say so.

Linked-device rules apply to QR numbers. Up to four linked devices per account, logged out if the primary phone is unused for more than 14 days (WhatsApp Help Center). Someone must keep using WhatsApp on the client’s phone.

Opt-in is the client’s responsibility, and yours as their agency. WhatsApp’s Business Messaging Policy allows contacting only people who gave their number and opted in, and opt-outs must be honored (policy).

The official API is a second way to connect, not a different product. For a client that needs approved templates, messaging outside the 24-hour customer service window, or higher volume, connect their number through Meta’s WhatsApp Business Platform. Meta charges its own per-message fees on that connection, billed separately by Meta.

No built-in CRM or ad-platform integrations. Client reporting, CRM sync and lead hand-off go through the REST API and webhooks, which means some developer time on your side.

Frequently asked questions

Can multiple people use the same WhatsApp Business number for a client?
Yes. Link the client’s number to its whatsappx.si workspace by QR code, then invite your account managers and the client’s staff by email. Each person signs in with their own account and replies from the same inbox at the same time. Assign chats so one person owns each conversation. Agents see only their assigned chats.
Can an agency keep each client’s WhatsApp chats separate?
Yes. Create one workspace per client. Every workspace has its own connected number, contacts, automations, knowledge base, API keys and members, and data is separated per workspace. Your staff switch between workspaces from one login, while a client invited only to their own workspace sees nothing from any other client.
Can my client’s WhatsApp Business account be banned for using third-party tools?
It can happen. WhatsApp may restrict numbers that break its terms, such as bulk, automated or unsolicited messaging. Use a new number normally for 15–20 days before linking, message only people who opted in and send 5–10 messages at a time. whatsappx.si is not affiliated with WhatsApp or Meta: a restriction is handled between the client and Meta, and whatsappx.si cannot restore an account.
Do I need customer opt-in before sending WhatsApp messages on a client’s behalf?
Yes. WhatsApp’s Business Messaging Policy allows contacting people only if they gave their number and opted in, and opt-outs must be honored (policy). Agree with each client how opt-in is collected and recorded before you connect their number, and never upload a purchased list.
How many devices can I link to a client’s WhatsApp Business account?
WhatsApp allows up to four linked devices per account, and a whatsappx.si QR connection counts as one of them (WhatsApp Help Center). Teammates do not use extra device slots: they sign in to whatsappx.si with their own accounts and share the single linked connection. Linked devices log out if the phone is unused for over 14 days.
Can an agency run bulk WhatsApp campaigns for clients with whatsappx.si?
No. whatsappx.si does not offer bulk broadcast campaigns on any connection, and WhatsApp says its products are not intended for bulk or automated messaging. For clients who need template-based outreach at volume to opted-in contacts, Meta’s official WhatsApp Business Platform is the sanctioned route, with Meta’s messaging limits, quality ratings and per-message charges.
