Why do salons and local services need a shared WhatsApp inbox?

For a local business, WhatsApp is the booking line: Do you have anything on Saturday? Can I push my 4 pm to 5? When all of that lands on one phone behind the counter, whoever is holding it, usually mid-haircut, is the bottleneck. Messages get read and forgotten, two stylists answer the same client, and the owner learns about a missed booking when the chair sits empty.

A shared inbox turns that number into a queue the whole team works from a browser. Everyone has their own login, each chat is assigned to the person doing the appointment, and the business keeps the number clients already have saved.

What does a typical day look like?

The scenario below is an illustrative example, not a description of any real business.

Before opening. A three-chair salon has connected its existing WhatsApp Business number by scanning a QR code. The receptionist signs in from the front-desk laptop and finds the overnight messages: two booking requests, a reschedule for Thursday and a question about bridal trials. She confirms the bookings, moves the Thursday slot and assigns the bridal question to the senior stylist, who answers from her phone's browser between clients.

Mid-morning. A keyword auto-reply answers messages that mention "timing" or "price list" with the opening hours and a link to the services page. A message that just says "hi" waits with an unread badge until someone picks it up.

Early afternoon. The receptionist sends tomorrow's confirmations to clients who asked for them on WhatsApp, five to ten at a time, checking for replies before the next batch. One client answers "can we do 11 instead?" and the change is handled in the same thread.

Closing. The owner, out at the supplier all day, opens the inbox on her phone, sees that nothing is unread and every open chat has an owner, and reads the bridal-trial thread to quote a price. Nobody touched the salon phone.

How does a salon or local service get started?

  1. Create a workspace

    Sign up with email and password or with Google, verify your email and name the workspace after your business.

  2. Connect the number clients already know

    Open WhatsApp or WhatsApp Business on the shop phone and scan the QR code, as for WhatsApp Web; recent chat history syncs in. Use a brand-new number normally for 15–20 days before connecting it, and open WhatsApp on the phone at least every 14 days afterwards.

  3. Invite the team

    Send email invites and pick roles: owner for you, admin for the front desk, agent for staff who should only see their assigned chats.

  4. Add two or three auto-replies

    Start with opening hours, address and price list. Leave booking changes and anything personal to a human reply.

  5. Agree on how reminders go out

    Send 5–10 at a time to clients who asked for reminders on WhatsApp, and pause between batches to answer replies. For higher volume, connect a number through the official WhatsApp Business Platform and use approved utility templates.

Linked devices log out if the phone is unused for over 14 days (WhatsApp Help Center). On the Business Platform, only templates can be sent outside a customer service window (Meta for Developers) and Meta charges per delivered message (Meta pricing).

What about promotions and seasonal offers?

whatsappx.si does not offer bulk broadcast campaigns, and a QR-linked number is not the tool for them. To announce a festive discount or a new service, the sanctioned route is the official WhatsApp Business Platform with an approved marketing template, sent only to clients who opted in. WhatsApp currently does not deliver marketing templates to US (+1) numbers (Meta pricing), so a US salon should treat WhatsApp as a booking and service channel.

Can multiple people use the same WhatsApp Business number at a salon?
Yes. Connect the salon number to whatsappx.si by scanning a QR code, then invite the front desk and stylists by email. Each person signs in with their own account and works from the same inbox in a browser. Each chat can be assigned to one person, so it is clear who answers which client, and unread counts show what is waiting.
Can I send appointment reminders on WhatsApp through whatsappx.si?
Yes, as long as a person sends them, in batches of 5–10, to clients who asked for reminders on WhatsApp. whatsappx.si does not offer bulk broadcasts. For higher volume, connect a number through the official WhatsApp Business Platform and use approved utility templates, the only messages allowed outside the 24-hour window. Automated reminders from a booking system belong on an official API number.
Can my WhatsApp Business account be banned for using third-party tools?
WhatsApp can restrict or ban numbers that break its terms, especially for bulk or automated messaging and unsolicited contact. whatsappx.si is not affiliated with WhatsApp or Meta. It connects through WhatsApp’s own linked-device feature or the official API, but it cannot prevent or reverse a restriction: that is between you and Meta. Use a new number normally for 15–20 days first, send 5–10 messages at a time and message only clients who opted in.
Does WhatsApp Web work if my phone is off, and does that apply here?
A QR-linked number works like WhatsApp Web, so the inbox keeps working while the shop phone is switched off or in a drawer. WhatsApp says linked devices log out if the primary phone is unused for more than 14 days, so open WhatsApp on that phone regularly. Numbers connected through the official WhatsApp Business Platform do not depend on a phone at all.
Do I need client opt-in before sending WhatsApp messages?
Yes. WhatsApp’s Business Messaging Policy allows you to contact people only if they gave you their number and you received opt-in permission, and you must honor requests to stop. For a salon, that usually means asking at booking whether the client wants confirmations and reminders on WhatsApp, and noting the answer. Replying to a client who messaged you first is always fine.
Can the owner see what staff are saying to clients?
Yes. Owner and admin roles see every conversation in the workspace, who it is assigned to and whether it has been read, from any browser. Agents see only their assigned chats. Invites go out by email with expiring links and can be revoked, so access ends the day someone leaves.
