Why do real estate teams need a shared WhatsApp inbox?
Buyers and tenants message the number on a listing before they call: Is this still available? Can I see it this weekend? Do you have the floor plan? When that number lives on one agent's phone, enquiries pile up during site visits, colleagues cannot see what was promised, and a lead who asked for a second viewing slips away.
A shared inbox lets the whole brokerage work the same number. Each agent has their own login, every enquiry has one owner, unread counts show what is waiting, and brochures sit inline in the thread. The number on your boards and portal listings stays the same.
What does a typical day look like?
The scenario below is an illustrative example, not a description of any real brokerage.
Morning. A four-agent brokerage has connected the WhatsApp Business number on its portal listings by scanning a QR code. Overnight enquiries wait when the coordinator signs in: two people asking whether a two-bedroom flat is still available, one asking for a brochure and a tenant chasing a lease renewal. She assigns the flat enquiries to the listing agent and the renewal to the leasing agent.
Midday. The listing agent replies from a tablet between viewings. A keyword auto-reply has already sent a short message with the brochure link to anyone who mentioned "brochure". A buyer who first messaged last week confirms a Saturday viewing in the same thread, so the agent sees the whole history, including the budget mentioned earlier.
Afternoon. The coordinator starts a chat by phone number with a lead who asked on a web form to be contacted on WhatsApp, then sends Saturday viewing confirmations to those who booked, five to ten at a time, checking for replies in between.
Evening. The broker checks that nothing is unread and every open enquiry has an agent. No one borrowed a colleague's phone all day.

How does a brokerage get started?
Create a workspace
Sign up with email and password or with Google, verify your email and name the workspace after your brokerage.
Connect the number on your listings
Scan the QR code from the WhatsApp or WhatsApp Business app on the listing phone, as for WhatsApp Web. Recent chat history syncs in. If the number is brand new, use it normally for 15–20 days before you connect it.
Invite agents and set roles
Send email invites with expiring links. Make the broker an admin and agents see only their assigned chats.
Add a few auto-replies
Create keyword rules that send a text reply, such as a brochure link or your office hours. Keep negotiations and viewing schedules for people.
Agree on how follow-ups go out
Send viewing confirmations in batches of 5–10, only to people who asked to hear from you. For higher volume, add a number through the official WhatsApp Business Platform and use approved templates.

QR-linked numbers use WhatsApp’s linked-device feature, which allows up to four linked devices and logs them out if the phone is unused for over 14 days (WhatsApp Help Center). On the WhatsApp Business Platform, templates are the only messages allowed outside a customer service window (Meta for Developers).
What about new-listing alerts and marketing?
whatsappx.si does not offer bulk broadcast campaigns, and a QR-linked number is the wrong tool for them: WhatsApp says its products are not intended for bulk or automated messaging (WhatsApp Help Center). To send new-listing alerts to buyers who opted in, connect a number through the official WhatsApp Business Platform and use approved marketing templates. Meta charges per delivered template by category and market (Meta pricing), and WhatsApp does not currently deliver marketing templates to United States phone numbers, while utility and service messages are unaffected (Meta for Developers). US teams can still confirm viewings with utility templates and reply to anyone who messages first.
