How does a coaching institute get started?

  1. Create a workspace and invite the team

India's Digital Personal Data Protection Act, 2023 is coming into force in phases under the DPDP Rules, 2025. The rules on notice, children's data and data-principal rights apply from May 2027 as of 3 October 2026, though MeitY has consulted on shortening that window (Gazette of India, G.S.R. 846(E); PIB explainer). Three basics worth starting now:

  • Students are often minors. The Rules treat anyone under 18 as a child and require verifiable parental consent before processing a child's data (Rule 10). Take the parent's number and consent on the enquiry form, and message the parent.
  • Say why you are messaging. The notice must be in clear, plain language and state what data you collect and why (Rule 3). A line such as "We will contact you on WhatsApp about batches, timings and fees; reply STOP to opt out" is a good start for both the DPDP notice and WhatsApp's opt-in rule (Business Messaging Policy). The full notice must also explain how to withdraw consent, exercise rights and complain to the Data Protection Board.
  • Know who holds the data. The institute decides why chats are processed, so it is usually the Data Fiduciary, and whatsappx.si generally acts as a Data Processor on its behalf. Roles and assignment help you control who in the office can see which chats.

Frequently asked questions

Can multiple people use the same WhatsApp Business number at a coaching institute?

Does WhatsApp Web work if my phone is off?
Linked devices, including whatsappx.si connected by QR code, keep working without the phone online, but WhatsApp logs them out if the phone is unused for more than 14 days. Keep the admissions phone charged and open WhatsApp on it at least once a fortnight, especially during a holiday break (WhatsApp Help Centre).
Can my WhatsApp Business account be banned for using third-party tools?
WhatsApp can restrict or ban numbers that break its terms, especially for bulk or automated messaging, unsolicited contact and unofficial apps. whatsappx.si connects through WhatsApp’s own linked-device feature or the official API, but cannot prevent or reverse a restriction: that is between you and Meta. Use a new number normally for 15–20 days, send 5–10 messages at a time and message only families who opted in.
Do I need parent or student opt-in before sending WhatsApp messages?
Yes. WhatsApp’s Business Messaging Policy allows you to message people only if they gave you their number and opted in, and you must honour opt-outs. Add a consent line to your enquiry form and, for students under 18, take the parent’s consent and message the parent. Keep a record of who opted in and when.
Does the DPDP Act apply to WhatsApp chats my institute stores?
Yes, once the relevant rules are in force. Chats hold names, phone numbers, fee and course details, and often a minor’s data. The institute is usually the Data Fiduciary and whatsappx.si generally acts as its Data Processor.
