How does a shared WhatsApp inbox work?

A shared inbox connects a WhatsApp number to a workspace that several people can sign in to. Each teammate uses their own account, so you never share one phone or one password.

whatsappx.si gives you two ways to connect a number:

  1. Link the WhatsApp or WhatsApp Business app you already use by scanning a QR code, the same way WhatsApp Web works. The workspace becomes a linked device and recent chat history syncs in.
  2. Connect a number through Meta’s official WhatsApp Business Platform (Cloud API), using Meta Embedded Signup inside the app. You can add several Meta numbers to one workspace.

Once a number is connected, its conversations appear in the shared inbox. You can also start a new chat by entering a phone number.

How do you set up a shared inbox?

  1. Create a workspace

    Sign up with email and password or with Google, then name your workspace.

  2. Connect a WhatsApp number

    Scan a QR code to link an existing number, or connect a number through the official WhatsApp Business Platform.

  3. Invite your team

    Send email invites with an owner, admin or agent role. Invite links expire, and you can resend or revoke them.

  4. Start replying together

    Open chats, reply, assign conversations and keep unread counts at zero.

QR linking uses WhatsApp’s linked-device feature. For high volume, approved templates and automation at scale, we recommend the official WhatsApp Business Platform. Meta bills its own messaging fees for the official API separately.

Can I limit what an agent can see?
Yes. Every workspace has three roles: owner, admin and agent. Agents can be limited to the chats that are assigned to them, so they only see the conversations they are responsible for. Owners and admins manage the team, connected numbers and settings.
Are images and documents shown in the inbox?
Images and documents that customers send are shown inline in the conversation, so your team can see them without downloading anything first. Your team replies from the same thread view in the browser, so the context stays in one place.
