whatsappx.si lets a whole team work from one WhatsApp number without sharing a phone or a password. Each teammate signs in with their own account and sees new messages live. Owners and admins see every chat and assign conversations; agents see only the chats assigned to them.

What does team collaboration include?

Everything several people need to run one WhatsApp number together.

    Teammates open different chats and reply in parallel from their own browser sessions. Nobody waits for the phone.

How can several people use one WhatsApp number at the same time?

A WhatsApp account lives on one phone, so on its own one person holds the phone and everyone else waits. whatsappx.si connects the number to a workspace that any number of teammates sign in to with their own accounts.

There are two ways to connect:

  1. Scan a QR code from the WhatsApp or WhatsApp Business app you already use. The workspace becomes one of the account's linked devices, like WhatsApp Web, and recent chat history syncs in. One scan covers the whole team: teammates sign in to whatsappx.si, not to WhatsApp, so they do not each use a linked-device slot. WhatsApp's standard linked-devices feature allows up to four linked devices, which work while the phone is offline but log out if the phone is unused for more than 14 days (WhatsApp Help Center).
  2. Connect through Meta's official WhatsApp Business Platform (Cloud API) with Meta Embedded Signup inside the app. This is not tied to a phone, supports several Meta numbers per workspace, and is the route we recommend for higher volume, approved templates and automation at scale.

Either way, the team works from the same list of conversations. Owners and admins see every chat and decide who handles it; agents reply in the chats assigned to them.

How do you set up your team on one number?

  1. Create a workspace

    Sign up with email and password or with Google and name your workspace. You become its owner and can add more workspaces later.

  2. Connect a number you already use

    Scan the QR code from the WhatsApp or WhatsApp Business app, or connect through the official WhatsApp Business Platform. If the number is brand new, use it normally on the phone for 15–20 days before connecting it.

  3. Invite teammates with a role

    Enter each person’s email and choose admin or agent (only owners can invite admins). The link expires if unused; resend it if it lapses or revoke it if plans change.

  4. Assign chats

    As chats arrive live, an owner or admin assigns each one to a teammate. Agents see a chat once it is assigned to them.

  5. Reply and clear the queue

    Reply to the people who wrote to you, send in small batches of 5–10 messages at a time, and keep unread counts at zero.

How does assignment stop two people from answering the same customer?

Assignment attaches one teammate's name to a conversation. Owners and admins see who has each chat, and agents see only the chats assigned to them. That removes the two usual problems of a shared phone:

  • Double replies. Two people answer the same question minutes apart, sometimes differently. With assignment, the chat has one owner and the rest of the team leaves it alone.
  • Dropped chats. A message sits unanswered because everyone assumes someone else has it. Unread counts show what is waiting, and an unassigned chat with an unread count is an obvious gap for an owner or admin to fill.

Owners and admins can reassign a chat at any time, for example when a teammate goes off shift. Unread counts are shared, not personal, so marking a chat as read clears it for everyone who can see it, and new messages arrive live, with images and documents shown inline.

For example, a three-person support team could have one admin who assigns each new chat to whichever agent is free and reassigns anything untouched for an hour, so each agent's list stays short. A small sales team could instead make every salesperson an admin, so everyone sees all leads, and use assignment only to show who owns each one.

When do you need more than one workspace?

A workspace is the boundary for everything: its connected numbers, members and roles, contacts, automations and settings. Data in one workspace is kept separate from every other workspace, and whatsappx.si supports multiple workspaces per account. That is useful when:

  • Two brands or clients should not see each other's chats. For example, an agency could run one workspace per client, with the client's own staff invited as agents and the agency's staff as admins in each.
  • Separate teams use separate numbers. For example, a company could keep a sales number and a support number in different workspaces so neither team sees the other's conversations.

One whatsappx.si account can belong to several workspaces, so you do not need a separate sign-in for each.

Frequently asked questions

Can multiple people use the same WhatsApp Business number?
Yes. With whatsappx.si, one WhatsApp number is connected to a workspace, and each teammate signs in with their own account to reply from the same inbox at the same time. Nobody shares a phone or a password. Owners and admins assign each chat to one person, and agents see only the chats assigned to them.
Does every teammate need to scan the QR code?
No. The QR code is scanned once, from the phone that holds the WhatsApp number, and the workspace becomes one linked device. Teammates then sign in to whatsappx.si with their own email or Google account. They do not link their own phones, so they do not use up any of the linked-device slots WhatsApp allows per account.
What happens if the phone with the WhatsApp number is switched off?
A QR-linked number keeps working while the phone is offline, because it uses WhatsApp’s linked-device feature. WhatsApp logs linked devices out if the primary phone is unused for more than 14 days, so someone should open WhatsApp on that phone regularly. Numbers connected through the official WhatsApp Business Platform are not tied to a phone at all.
Can I stop agents from seeing every conversation?
Yes, that is how the agent role works. Agents see only the chats assigned to them, so an agent’s inbox contains just their own conversations. Owners and admins always see every chat in the workspace, assign and reassign conversations, and manage members, connected numbers and settings. Give someone the admin role if they need to see everything.
Can one account have more than one workspace?
Yes. whatsappx.si supports multiple workspaces per account. Each workspace has its own connected numbers, members, roles, contacts and settings, and its data is kept separate from other workspaces. This suits agencies handling several clients, or businesses that want sales and support on different numbers with different teams.
Will WhatsApp block my number if several people reply from it?
Replying to customers who contacted you is normal use. WhatsApp’s policies prohibit bulk, automated and unsolicited messaging, so use a new number normally for 15–20 days first, send 5–10 messages at a time, and message only people who opted in. If WhatsApp restricts a number, that is handled between you and Meta; whatsappx.si is not responsible and cannot restore it.
