A shared WhatsApp inbox is software that shows the chats of a business WhatsApp number in one list that several teammates can open, assign and reply to at the same time, instead of passing one phone around. It connects to WhatsApp by scanning a QR code or through Meta’s official WhatsApp Business Platform.

What is a shared WhatsApp inbox?

A shared WhatsApp inbox (also called a WhatsApp team inbox) is a web application that puts every conversation of a business WhatsApp number into one list that a team works from together. Each teammate signs in with their own account, sees the same chats, and can open a conversation, reply, mark it as read or assign it to a colleague. The customer still messages the one number they know; the inbox changes who can answer on the business side.

Meta describes the WhatsApp Business app as a tool for small businesses to communicate "from a single device" (WhatsApp Business FAQ). A shared inbox exists to remove that single-device limit without giving every employee the phone.

How does a shared WhatsApp inbox work?

There are two ways to connect a WhatsApp number to a shared inbox. whatsappx.si supports both.

QR linking uses WhatsApp’s linked-device feature. WhatsApp lets you link up to four companion devices to the primary phone, they keep working while the phone is offline, and they log out if the phone goes unused for more than 14 days (WhatsApp Help Center). The shared inbox takes one of those four slots, and every teammate in the workspace works through it, so you do not need a device per person.

The official WhatsApp Business Platform is Meta’s route for medium and large businesses that want programmatic access and messaging at scale (WhatsApp Business FAQ). Meta says the platform can connect "thousands of agents and bots" to one business account (WhatsApp Business). On this route, Meta bills its own per-message fees separately (Meta pricing), and messages outside the 24-hour customer service window must use approved templates (Meta for Developers).

Once a number is connected either way, the inbox adds the team layer: one list with search and unread counts, images and documents shown inline, assignment to a teammate, roles such as owner, admin and agent, and live updates as new messages arrive. Who needs a shared WhatsApp inbox?

Any business where more than one person answers WhatsApp messages. For example:

  • A clinic where reception, billing and a nurse all answer the same patient number.
  • An online store where support and returns share a number and hand chats to each other.
  • A coaching institute in India where counsellors reply to admission enquiries in shifts.
  • A field-service company in the USA where dispatchers and technicians need the same history.

The signs you need one are familiar: a phone that lives on someone’s desk, screenshots forwarded to colleagues, and nobody knowing whether a customer was answered.

Can a shared inbox get a WhatsApp number blocked?

A shared inbox connected by QR code is a linked device, and the official API is Meta’s own product, so neither is a problem in itself. What WhatsApp acts against is behavior. Its products are "not intended for bulk or automated messaging" (WhatsApp Help Center), and the Business Messaging Policy allows you to contact people only if they gave you their number and opted in (WhatsApp Business Messaging Policy).

To keep the number you connect healthy:

  • New number? Use it normally first. A brand-new WhatsApp number should be used on the phone for 15–20 days, with real two-way chats, before you connect it to whatsappx.si.
  • Small batches. Send 5–10 messages at a time, never bulk blasts, and let replies come in between.
  • Opt-in only. Message people who agreed to hear from you and honor every opt-out.
  • Outgrow the QR route when needed. For volume, templates and automation at scale, add the number through the official WhatsApp Business Platform instead.

How is a shared inbox different from WhatsApp Web?

WhatsApp Web mirrors one account to one browser for one person; it has no teammates, assignment or roles. A shared inbox is also a linked device when connected by QR code, but it sits between WhatsApp and your team: everyone signs in with their own login, chats can be assigned, agents see only their own assigned conversations, and keyword automations, a REST API and webhooks are available on the same number.

Frequently asked questions

Can multiple people use the same WhatsApp Business number?
Yes. WhatsApp allows up to four linked devices on the primary phone, which is enough for a few people. A shared inbox such as whatsappx.si uses one of those slots and lets everyone in your workspace reply from one screen with their own login. For many agents, several numbers or high volume, connect through Meta’s official WhatsApp Business Platform instead.
Do I need the WhatsApp Business API for a shared inbox?
No. You can connect the WhatsApp or WhatsApp Business app number you already have by scanning a QR code, and your team can start replying right away with recent chat history synced in. The official WhatsApp Business Platform is a second way to connect, useful when you need Meta-approved message templates, several Meta numbers in one workspace or higher sending volume.
Does a shared WhatsApp inbox work if the phone is off?
When connected by QR code, yes: linked devices keep working while the phone is offline, as long as WhatsApp is used on the primary phone at least once every 14 days. If the phone stays unused longer, WhatsApp logs out all linked devices and you scan the QR code again. Numbers connected through the official WhatsApp Business Platform are not tied to a phone at all.
Is it safe to use a shared inbox for business WhatsApp?
Linking a device and using the official API are both standard WhatsApp features. What puts a number at risk is bulk or unsolicited sending. Use a new number normally for 15–20 days before linking it, send 5–10 messages at a time and message only people who opted in. whatsappx.si is not affiliated with WhatsApp or Meta: if WhatsApp restricts a number, that is handled between you and Meta, and whatsappx.si cannot restore it.
What can a team do in a shared inbox that WhatsApp Web cannot?
Work together on the same number. Teammates sign in separately, see unread counts, search chats, assign a conversation to a colleague and reply at the same time, while agents see only the chats assigned to them.
