Best respond.io Alternatives for Small Teams (2026)

Seven respond.io alternatives for US teams, compared on channels, users included, Meta fees and how each connects WhatsApp. Sourced, as of October 2026.

On this page

TL;DR

  • respond.io is a strong omnichannel platform. If your team answers customers on WhatsApp, Instagram, TikTok, Facebook and email, it may still be the right choice.
  • Look for an alternative when you only use WhatsApp, want fewer seats than the plan bundles, want a QR-linked inbox for the number you already have, or prefer pay-as-you-go API pricing.
  • The seven options here are Trengo, WATI, Gallabox, Gupshup, Twilio, Periskope and whatsappx.si. Each is stronger at something different, and the table shows where.
  • If you connect a number by QR code with any tool, follow WhatsApp's policies: use a new number normally for 15–20 days first, message only people who opted in, and send 5–10 messages at a time, never in bulk.

What is the short answer?

The best respond.io alternative depends on one question: do you need an omnichannel inbox, or do you mostly need WhatsApp? Teams that handle several channels can compare Trengo, WATI and Gallabox. Teams that only use WhatsApp, and want to keep the number they already have, may prefer a lighter WhatsApp-first inbox such as Periskope or whatsappx.si, where you scan the WhatsApp you already have and the whole team replies from one inbox. Developers who want to build their own experience can look at Gupshup or Twilio.

What does respond.io offer?

respond.io is an AI-powered customer conversation platform based in Kuala Lumpur. It brings WhatsApp, TikTok, Instagram, Facebook Messenger and email into one team inbox, with workflow automation, AI Agents, broadcasts and calling (respond.io).

As of October 2026, its pricing page lists Starter at $79 per month billed yearly ($99 month-to-month) with 5 users, Growth at $159 per month billed yearly with 10 users, starting at 1,000 Monthly Active Contacts (MACs), and Advanced at $279 per month billed yearly. Extra users and extra MACs are paid add-ons. WhatsApp fees are not included: they are paid from a prepaid WhatsApp balance at Meta's rates with no markup (respond.io help: WhatsApp fees).

respond.io connects WhatsApp through the official WhatsApp Business Platform. Numbers already on the WhatsApp Business app can use Meta's Coexistence flow, which does not import contact or message history and requires the app to be opened at least every 14 days (respond.io help: WhatsApp Coexistence).

Where is respond.io stronger?

respond.io is stronger than most of the tools below on:

  • Channel breadth. One inbox for WhatsApp, TikTok, Instagram, Facebook and email, plus WhatsApp and Messenger calling.
  • Automation depth. Workflows, AI Agents, broadcasts and CRM syncing.
  • Fee transparency. WhatsApp fees pass through at Meta's rates with no markup.
  • Security options. Two-factor authentication on all plans and SSO on Advanced.
  • Mobile. A mobile app is included from the Starter plan.

Why do small teams look for an alternative?

The usual reasons, drawn from respond.io's own plan structure (pricing):

  1. You only use WhatsApp and do not want to pay for TikTok and email channels.
  2. Seats and contacts. Growth and Advanced pricing scales with Monthly Active Contacts, with overage charges, and a 3-person team may not need 5 or 10 bundled users.
  3. Feature gating. Broadcasts, workflows, AI Agents and the Developer API start at Growth; webhooks, multiple workspaces and SSO need Advanced.
  4. Keeping your existing number and history. Coexistence does not import message history, and the app must be opened every 14 days.
  5. Billing. Some teams want no Meta per-message fees at all, which is possible when a number is linked as a device rather than connected through the API.

Is Trengo a good respond.io alternative?

Trengo is a European-owned omnichannel platform based in Utrecht. It puts WhatsApp Business, email, Instagram, Facebook, TikTok, live chat and voice in one inbox, with an AI agent (trengo.com). You choose a data storage region during WhatsApp setup (Trengo help: Coexistence).

As of October 2026, Boost is €299 per month billed annually (€349 month-to-month) with 10 users and 6,000 conversations a year; Pro is €499 per month with 20 users (Trengo pricing). Prices are in EUR with live conversion to USD, and broadcasting is an add-on. Meta's per-message charges still apply (Trengo help).

Stronger than respond.io at: European ownership, a data storage region you choose, and live chat in the same inbox. Weaker for: very small teams, because the entry plan bundles 10 users and caps conversations.

Is WATI a good respond.io alternative?

WATI runs on the official WhatsApp Business API and shows an Official Meta Business Partner badge. It combines a team inbox, broadcast campaigns, a no-code chatbot builder, AI agents, 100+ integrations and iOS and Android apps (wati.io).

As of October 2026, US pricing is Growth at $59 per month billed annually ($69 monthly) with 3 users and no option to add more; Pro at $119 billed annually with 5 users; Business at $279 (WATI pricing). WhatsApp per-message charges are billed separately. Coexistence works with WhatsApp Business app numbers only, and group chats do not sync (WATI help: Coexistence).

Stronger than respond.io at: a lower published entry price, a large integration library. Weaker for: teams that will outgrow 3 seats quickly or want TikTok and email in the same inbox.

Is Gallabox a good respond.io alternative?

Gallabox is an omnichannel platform for WhatsApp, Instagram, web chat and voice, centered on AI agents and a no-code flow builder. It is headquartered in Chennai with a US entity in Delaware (Gallabox contact), and it states SOC 2 Type II compliance (gallabox.com).

As of October 2026, Basic is $112 per month billed annually with a hard cap of 3 users and no webhooks; Essential is $248 with 6 users; Advanced is $474 with 10 users (Gallabox pricing). WhatsApp fees appear on your invoice with a Gallabox markup. Coexistence must first be enabled by Gallabox support (Gallabox docs).

Stronger than respond.io at: AI voice agents, a stated SOC 2 Type II posture. Weaker for: fee transparency, since Meta fees carry a markup.

Is Gupshup a good respond.io alternative?

Gupshup is a conversational messaging platform covering WhatsApp, Instagram, SMS, RCS and web (Gupshup), and it describes itself as one of Meta's largest Solution Partners (press release via ThePrint). As of October 2026, its self-serve WhatsApp API has no setup or monthly fee: you pay $0.001 per message plus Meta's fees at actuals, from a prepaid wallet with a $10 minimum (Gupshup pricing). Direct customers onboard with Meta Embedded Signup (Gupshup docs), and WhatsApp Business app numbers can use Coexistence (Gupshup docs: Coex). Agent Assist adds an inbox with assignment rules and SLAs (Gupshup Console docs), and Bot Studio is a visual journey builder (Gupshup Console).

Stronger than respond.io at: usage-based pricing, SMS and RCS alongside WhatsApp. Weaker for: teams that want a simple, ready-made inbox without configuring an enterprise console.

Is Twilio a good respond.io alternative?

Twilio is a developer platform, not an inbox. You get the WhatsApp Business Platform through its APIs at $0.005 per message plus Meta's fees (Twilio WhatsApp pricing). Its agent workspace, Twilio Flex, is priced separately from $1 per active user hour or $150 per named user per month (Flex pricing). A number already on WhatsApp must have that account deleted before registration (Twilio docs).

Stronger than respond.io at: programmable APIs, high-volume sending, and SMS alongside WhatsApp. Weaker for: any team without an engineer to build the front end.

Is Periskope a good respond.io alternative?

Periskope is a multi-number WhatsApp inbox that connects regular WhatsApp and WhatsApp Business app numbers by QR code, as a linked device. It is built for WhatsApp group management, tickets and SLA rules, and it does not support WhatsApp Business API numbers (periskope.app). As of October 2026, Starter is $25 per user per month billed monthly or $15 billed annually; Pro is $35 or $25, and users and phones are billed separately (Periskope pricing). Its terms say it is an unofficial tool and that WhatsApp may block or ban connected numbers (Periskope terms).

Stronger than respond.io at: WhatsApp groups, no Meta fees, keeping your existing number and history. Weaker for: anyone who needs the official API or templates.

Where does whatsappx.si fit?

whatsappx.si is a WhatsApp-only shared inbox for teams: scan the WhatsApp you already have, and the whole team replies from one inbox. It is not an omnichannel platform. What it does today:

  • Scan the WhatsApp you already have. Scan a QR code with the WhatsApp or WhatsApp Business app you already use, like WhatsApp Web. The inbox becomes a linked device and recent chat history syncs in.
  • One inbox for the whole team. Search, assign chats, see unread counts, reply with images and documents, and get live updates. Roles are owner, admin and agent, and agents see only their assigned chats.
  • Keyword automations. Auto-replies triggered by keywords, which you can switch on and off, with a run count for each rule. AI replies to customers are coming soon and are not available yet.
  • Knowledge base. Teammates search your articles by keyword to find answers quickly.
  • Also available. You can add numbers through Meta's official WhatsApp Business Platform with Embedded Signup inside the app, and sync message templates with Meta for those numbers. Developers get a REST API with API keys, outbound webhooks and in-app docs. There are no built-in CRM integrations.

Where respond.io is stronger: channels beyond WhatsApp, broadcasts, a workflow builder, AI Agents, a mobile app, 2FA and SSO. whatsappx.si has none of these today, and its prices are not published yet, so cost cannot be compared.

Where whatsappx.si fits: a small team that lives on WhatsApp and wants to keep the number and history it already has. For example, a home-services company could link its existing number by QR code so dispatch and the office answer from one inbox, then add an official-API number later if it needs Meta-approved message templates.

What should US teams know about sending on WhatsApp?

Two facts shape every option above.

First, on the official API, WhatsApp currently does not deliver marketing template messages to US (+1) numbers; blocked sends fail with error 131049 (Meta documentation). Utility, authentication and service messages still work. Since October 1, 2026, Meta also charges for service messages after 1,000 free per business number per month (Meta pricing).

Second, a number linked by QR code with any tool uses WhatsApp's linked-device feature, which allows up to four linked devices and logs them out if the phone is unused for over 14 days (WhatsApp Help Center). WhatsApp says its products are not intended for bulk or automated messaging (WhatsApp Help Center), and its Business Messaging Policy requires opt-in (WhatsApp Business Messaging Policy). To keep a number safe:

  • Use a brand-new WhatsApp number normally for 15–20 days before you connect it to any software.
  • Send 5–10 messages at a time, never a bulk blast, and leave time between batches.
  • Message only people who opted in, and honor opt-outs quickly.
  • Move to the official WhatsApp Business Platform when you need volume, templates or automation at scale.

Otherwise WhatsApp may restrict or block the number, and no third-party tool, including whatsappx.si, can undo that.

How do you choose for a 3–15 person team?

If you need…Consider
WhatsApp plus email, Instagram, TikTok or voice in one inboxrespond.io, Trengo, Gallabox
Broadcasts and a no-code chatbot builder on the official APIWATI, Gallabox, Gupshup
Pay only for what you send, and build your own interfaceGupshup, Twilio
WhatsApp groups and operations tooling on QR-linked numbersPeriskope
WhatsApp only, keep your existing number, option to add official-API numbers laterwhatsappx.si

Start with a trial where one is offered, connect one number, and have two teammates answer real conversations for a week. That is usually enough to see whether a tool fits how your team works.

Frequently asked questions

Is respond.io good for small teams?
It can be. As of October 2026 the Starter plan is $79 per month billed yearly with 5 users and covers WhatsApp, Instagram, Facebook, TikTok and email. It is a good fit when you use several channels. If you only use WhatsApp, or your team has 2 or 3 people, a WhatsApp-first inbox may cost less and be simpler to run.
Which respond.io alternative lets me keep my existing WhatsApp number?
Periskope and whatsappx.si both link an existing WhatsApp or WhatsApp Business app number by QR code as a linked device, so recent history comes with it. respond.io, Trengo, WATI and Gallabox offer Meta Coexistence for WhatsApp Business app numbers, which keeps the app working but, in respond.io's case, does not import message history.
Do I still pay Meta fees with these tools?
With any tool on the official WhatsApp Business Platform, Meta charges per delivered message by category and market, and since October 1, 2026 service messages are charged after 1,000 free per number per month. Some vendors pass fees through at cost, some add a markup. QR-linked numbers do not go through the platform, so no platform fees apply.
Can my WhatsApp number be blocked if I use a third-party inbox?
Yes. WhatsApp's terms prohibit bulk and automated messaging, and it can restrict or ban numbers that break its Business Messaging Policy. Use a new number normally for 15–20 days before connecting it, message only people who opted in, and send 5–10 messages at a time. If WhatsApp restricts a number, that is handled between you and Meta; whatsappx.si is not responsible for account restrictions and cannot restore an account.
Why can't I send WhatsApp marketing messages to US numbers?
Since April 1, 2025, WhatsApp does not deliver marketing template messages to users with United States (+1) phone numbers, and blocked sends fail with error 131049. This applies on every official-API platform. Utility, authentication and service messages are not affected, so support and transactional use cases still work for US customers.
Is whatsappx.si cheaper than respond.io?
We cannot say yet. whatsappx.si has not published its prices for the USA or India, so there is no fair comparison today. respond.io publishes USD prices based on users and Monthly Active Contacts, with WhatsApp fees paid from a prepaid balance. Check our pricing page for the current status and compare once both are public.
